User Settings

Manage your personal profile, calendar preferences, and notification settings in the Communicate App.

User Settings

Manage your personal information and preferences

User Settings lets you update your profile, set calendar preferences, and control notifications. Access it from your profile menu in the top navigation.

1. Accessing User Settings

Open User Settings from anywhere in the app:

  1. Click your profile icon (avatar or initials) in the top-right corner
  2. Select "User Settings" from the dropdown menu
  3. The User Settings page opens

The page shows your personal information, calendar preferences, and notification settings.

2. Personal Information

The Personal Information section shows your account details and lets you update your profile.

Profile Photo

Your profile photo appears throughout the app (assignments, comments, team member lists).

Uploading a photo:

  1. Click "Upload photo" (or "Change photo" if you have one)
  2. Select an image file from your computer
  3. The photo uploads automatically and appears immediately

Supported formats:

  • JPG, PNG, GIF, or WEBP
  • Maximum file size: 5MB
  • Recommended: Square image (1:1 ratio), 500×500px

Removing your photo:

  • Click "Remove" next to your photo
  • Your photo is removed and initials are shown instead

Note: If you don't upload a photo, your initials are displayed based on your first and last name.

First Name and Last Name

You can edit your first and last name:

  1. Click "Edit" in the Personal Information section
  2. Update the First Name and Last Name fields
  3. Click "Save Changes" to save, or "Cancel" to discard

Your name appears in:

  • Your profile throughout the app
  • Assignment notifications
  • Comment threads
  • Team member lists

Note: Your name is separate from your email address and helps team members identify you.

Email Address

Your email address is displayed but cannot be edited here. It's used for:

  • Signing in to your account
  • Receiving notifications (if email notifications are enabled)
  • Account identification

Contact your team administrator if you need to change your email address.

3. Start of Week

The Start of Week setting controls which day your calendar views use as the first day of the week.

Choosing Your Week Start Day

You can choose between:

  • Sunday — Week starts on Sunday (default for many churches)
  • Monday — Week starts on Monday (standard calendar format)

To change your week start day:

  1. Go to the "Start of Week" section
  2. Click "Sunday" or "Monday"
  3. The setting saves automatically
  4. A checkmark appears next to your selected option

What this affects:

  • Calendar views (Matrix View, Timeline View)
  • Week navigation
  • Date calculations and displays
  • How weeks are grouped and displayed

Note: This is a personal preference and doesn't affect other team members. Each person can set their own week start day.

4. Notification Preferences

The Notifications tab in User Settings lets you choose which events trigger in-app notifications and which trigger email notifications. Open it from User Settings and select the "Notifications" tab. The section is labeled "Notifications" with a "Beta" badge and the description: "Manage your notification preferences."

Layout

Notification types are grouped into sections: Communications, Campaigns, and Mentions. Each section has a short description. For each notification type you see:

  • Label (e.g., "New comments on communications")
  • Short description (e.g., "Alert me when someone else comments on a communication I'm following.")
  • Two toggles: In-app and Email

Toggle behavior

  • In-app: On = you get in-app notifications for that type; Off = you don't.
  • Email: On = you get email notifications for that type; Off = you don't.
  • Changing a toggle saves immediately. A short confirmation appears (e.g. "Email notifications enabled" / "Email notifications disabled").
  • If loading or saving fails, an error message is shown and you can refresh or try again.

Communications notifications

  • New communications — When a communication is scheduled
  • Communications rescheduled — When a communication's send date changes
  • Communication status updates — When a communication moves between draft, active, or complete
  • Draft due soon — Reminder 2 days before a communication draft is due
  • Assignments on communications — When you're assigned to a communication
  • New comments on communications — When someone else comments on a communication you're following

Campaign notifications

  • New campaigns — When someone creates a campaign
  • Campaigns rescheduled — When a campaign's dates change
  • Campaign status updates — When a campaign moves between draft, active, or archived
  • Campaign starting soon — 7 days before a campaign begins
  • Campaign ending soon — 3 days before a campaign ends
  • Assignments on campaigns — When you're assigned to a campaign
  • New comments on campaigns — When someone else comments on a campaign you're following

Mentions notifications

  • Mentions in comments — When someone @mentions you in a comment (see Comments)

Defaults

By default, email is on for: assignments (campaign and communication), new comments on communications, new comments on campaigns, and mentions in comments. All other email types default off. In-app defaults are generally on for these types. You can change any of them.

What the emails include

Email notifications include a title, a short body (e.g. comment snippet or context), a "View details" link (to the relevant campaign, communication, or comments), and a "Manage notification preferences" link to User Settings.

Managing your preferences

To enable or disable a notification type:

  1. Find the notification type in the appropriate section
  2. Toggle In-app and/or Email on or off
  3. The preference saves automatically
  4. A success message confirms the change

Loading states:

  • While preferences are loading, you'll see "Syncing your current settings…"
  • While updating, the toggle may be disabled temporarily
  • If there's an error, an error message appears

Note: Notification preferences are marked as "Beta" and may be refined over time. Changes take effect immediately for new notifications.

5. Best Practices

Follow these tips to get the most out of User Settings:

Profile management:

  • Upload a clear profile photo so team members can recognize you
  • Keep your name up to date
  • Use a square photo for best results

Calendar preferences:

  • Choose the week start day that matches your workflow
  • This is personal and doesn't affect others

Notification management:

  • Enable notifications for items you're responsible for
  • Disable types that aren't relevant to your role
  • Review preferences periodically
  • Enable assignment notifications if you work on assigned items

Note: Your User Settings are personal to your account. Other team members won't see your preferences, and you won't see theirs. Each person manages their own settings independently.

6. Troubleshooting

I can't upload my profile photo:

  • Check that the file is JPG, PNG, GIF, or WEBP
  • Ensure the file is under 5MB
  • Try a smaller image size
  • Refresh the page and try again

My name changes aren't saving:

  • Make sure you clicked "Save Changes" after editing
  • Check your internet connection
  • Refresh the page and try again

Notification preferences aren't updating:

  • Wait a moment for the change to save
  • Check for error messages
  • Refresh the page if the toggle seems stuck
  • Contact support if issues persist

I don't see the User Settings option:

  • Make sure you're signed in
  • Check that you have the necessary permissions
  • Try refreshing the page
